SFTP delivery

Scheduled file drops from your HRIS, set up hand-in-hand with a Sprooster integration specialist.

Some systems of record (Workday, SAP SuccessFactors, older HRIS platforms) can't offer an API Sprooster can call, but they're all good at one thing: pushing a scheduled export to an SFTP endpoint. SFTP delivery turns that into a live directory connection: your HRIS drops a file on a schedule, and each drop syncs like a CSV re-upload: people updated, joiners added, leavers removed.

SFTP setups are guided: you work with a Sprooster integration specialist rather than self-serving through a form. HRIS exports vary enough (field naming, encodings, full-vs-delta files, multi-entity payroll quirks) that a pair of experienced eyes on your first files saves everyone a week of guessing.

How it works

  1. Request it. Use the Ask us for an integration form on the connect step (or Settings → Data sources) and name your HRIS. A specialist reaches out, usually within a business day.
  2. Scope the export together. You share a sample export (with dummy data if you prefer); the specialist maps its columns to Sprooster's fields and flags anything ambiguous before real data moves.
  3. We provision the endpoint. You receive a dedicated SFTP host, a directory for your org, and key-based credentials for your HRIS to authenticate with.
  4. Point your HRIS at it. Most HRIS platforms have a built-in scheduled-export job. The specialist can walk your HRIS admin through it on a call if useful.
  5. Dry run, then live. The first drops land in a preview only you can see. When the mapping looks right, the connection goes live and syncs on every drop, with alerting if a scheduled file ever fails to arrive.

What the files look like

Anything your HRIS exports naturally. CSV matching the CSV format needs no mapping work at all; anything else (different headers, fixed-width, XML) is handled in the mapping step. Full snapshots are preferred over deltas (they make leaver detection exact), but both work.

Good to know

  • Credentials are key-based and scoped to your org's directory only.
  • The schedule is yours: daily is typical; anything from hourly to weekly works.
  • Switching later to a direct Entra or Google Workspace connection keeps everyone's history. People are matched by work email, same as CSV.
